How Halo handles workflow inquiries.
This notice explains the limited information Halo Business Systems receives when you use the website inquiry form and how that information is handled.
Information you choose to provide
The workflow inquiry form asks for your name, work email, company, and a description of the workflow you are trying to improve. Please do not include confidential, regulated, or sensitive information in the initial inquiry.
How Halo uses the information
Halo uses the information to review your business problem, understand whether a conversation may be useful, respond to your inquiry, and protect the form from abuse. Submitting the form does not guarantee a consultation, engagement, response time, or outcome.
Delivery and storage
A valid inquiry is sent through Postmark, Halo’s third-party transactional email provider, to a monitored Halo-controlled Microsoft 365 mailbox. Postmark processes the submitted name, work email, company, inquiry message, sender and recipient addresses, Reply-To value, subject, and related delivery, bounce, and event metadata to deliver and troubleshoot the message and help prevent abuse. Under Halo’s current configuration, Postmark retains message content and related activity data for 45 days. The form does not create a submission record in WordPress and does not create a CRM record. A delivered inquiry remains in Halo’s Microsoft 365 mailbox for as long as reasonably needed for the inquiry and applicable business or legal recordkeeping; Halo has not stated a fixed mailbox-retention period.
Abuse prevention
The form uses a nonce, a hidden honeypot field, signed timing validation, and short-lived rate limiting. Rate limiting uses a one-way salted technical key and a request count that expires automatically; it does not store the form contents.
Service providers
Pressable hosts the WordPress website. Postmark processes website inquiries for transactional email delivery and related operational logging. Microsoft 365 receives and stores the delivered inquiry in Halo’s mailbox. These providers process limited information as needed to provide hosting, security, email delivery, delivery troubleshooting, abuse prevention, and mailbox services.
Analytics and cookies
Halo does not use website analytics, advertising cookies, session replay, or form-content analytics at initial V1 launch. Essential technical features may still process connection or security information needed to operate and protect the website.
Questions or requests
For a question about this notice or an inquiry you submitted, email ryan.scalf@halobusinesssystems.com. Halo will review reasonable requests concerning submitted information in light of the information it holds and applicable business or legal obligations.
